Parking Permit Application and Issue The information you provide will be used by the University to ascertain a need for access to the University of Edinburgh’s parking facilities. The University uses an external supplier to provide the parking management technology for the issue of parking permits on the University’s behalf: Imperial Civil Enforcement Solutions Ltd 7 Hill Street Bristol BS1 5PU The supplier may require to gain access to the back-office parking management system in order to identify and resolve system problems or failures. Permission to do so is always required and has to be provided by the University Parking Office and Information Services Department, prior to any access being given. Information we Gather The following information is collected: Name Address (business and personal) Vehicle registration details Staff/Student ID Email address Some personal information related to the need to commute to the University by private vehicle, rather than via public transport, i.e. business requirements or dependent care responsibilities. Retention Period The data gathered is retained for seven years to be able to fully satisfy our financial reporting responsibilities. Legal Basis We collect and use this information from you because by applying for a parking permit you take steps to enter into a contractual relationship with the University. If you receive a parking permit, a contract will ensue. If you disclose any health-related data as part of your application, then the legal basis for this is the substantial public interest. Parking Charge Notice Issue Information is obtained via the DVLA to identify and charge individuals issued with a parking charge notice while parked on University property without authorisation, a valid parking permit and who are not members of the University’s Parking Permit Management Scheme. In very exceptional circumstances, information may be provided to Brodies LLP, the University’s named Solicitor, in the event that we request they proceed with Civil Enforcement Action on behalf of the University, for non-payment of parking charges: Brodies LLP 15 Atholl Crescent Edinburgh EH3 8HA Information we Gather The following information is collected: Name Address (personal) Vehicle registration details Retention Period The data gathered is retained for two years or until we are no longer pursuing an individual for non-payment of parking charge notices. We may retain information for longer if the decision is taken to pursue for settlement of charges via Civil Enforcement Action. Legal Basis We collect and use this information because, by parking on private University property without prior authorisation you take steps to enter into a contractual relationship with the University. If you receive a parking charge notice a contract will ensue. Automated Decision-Making We do not use profiling or automated decision-making processes in relation to you.
